About CreatorOffice
CreatorOffice is the software for talent and creator management companies, influencer agencies and self-employed creators in Europe. Campaigns, contracts, creator chat, invoices, dunning and payouts come together in one back office. CreatorOffice is developed and operated for the European market, with a focus on Germany, Austria and Switzerland. European Union requirements are built into the product from the start, not added later.
European standards
We align CreatorOffice with European standards because our customers work in Europe and their brands, creators and authorities expect these standards. At a glance:
- Data protection under the General Data Protection Regulation (GDPR) of the European Union.
- Database, files and backups stored in data centres in the European Union.
- Data processing agreement under Art. 28 GDPR as part of every plan.
- EU standard contractual clauses for every provider outside the EU.
- Invoices with the mandatory details under European VAT law, as PDF and as XRechnung under the European standard EN 16931.
- Reverse charge within the EU and the small business scheme directly in the product.
- Contract and support language German, English on request.
Data protection under the GDPR
We process personal data in accordance with the GDPR and supplementary European data protection rules. Customers can export all their data themselves at any time (right to data portability under Art. 20 GDPR). Data subjects can request access, rectification, erasure and restriction under Art. 15 to 18 GDPR informally at datenschutz@creatoroffice.de. We do not use data to train AI models. Every data subject may lodge a complaint with a European data protection supervisory authority. Details are in the privacy notice (German).
Storage and backups in the EU
Database and files are stored in a data centre in the European Union. Every night we back up the database and document files to a separate storage, also in the EU, and delete the backups after 30 days. After a contract ends, the portal is locked; for at least 90 days customers can still export all data. Statutory retention periods for invoices and records are built in; data is deleted only after they expire and after notice by email.
Data processing and providers
Where we process data on behalf of our customers, the data processing agreement (German) under Art. 28 GDPR applies. It is part of every plan and confirmed in the product. All sub-processors are listed there openly. The standard contractual clauses adopted by the European Commission apply to providers outside the EU. We announce new sub-processors in advance.
Invoices under European law
Invoices and credit notes from CreatorOffice contain the mandatory details under the EU VAT Directive and German VAT law. They can be issued as XRechnung under the European standard EN 16931, as required for e-invoicing in Germany. Reverse charge within the EU, the small business scheme, sequential numbering, payment terms, dunning and late-payment interest based on the base rates of EU countries are built into the product.
Information security
Each agency sees only its own data; tenant separation and permissions are checked by the database on every access. Changes to documents, approvals and payments are logged with time and acting person. Signatures are recorded with time, device and SHA-256 checksum. Sign-ins can be protected with a second factor. Operator access happens only in individual cases and is logged.
